Job Description •Communication Management: Responsible for the management, coordination and oversight all phone, email, written, and in-person communications for the office of the CEO. Responsibilities include greeting and communicating in a friendly and detail oriented manner, screening calls, coordination/initiation scheduled and impromptu calls, and the overall effective management of all inquiries and requests. •Calendar Management: Schedule, coordinate, and maintain the calendar of the CEO and others as needed, determine which events are required, set up meetings and manage all details such as lunches, call-in numbers, agendas, reminders, meeting minutes. Assists with presentations, compiles special reports, letters, and memorandums. Prioritizes inquiries and requests while troubleshooting conflicts with little guidance and makes judgments and recommendations to ensure smooth day-to-day schedules for those they support. •Travel Management: Arrange and manage all travel related needs (air/ground transportation, lodging, dinning, entertainment, etc.) for the office of the CEO. The coordination and effective management of all outside agents/vendors, confirm schedules, accurate billing and modification of any travel related services. Duties include the preparation of itineraries, trip files, supplies, expense reports and other related support to help facilitate smooth and frictionless travel experiences. •Meeting Management: Develop, coordinate and manage (in-house and off-site) conferences, meetings and seminars. Duties include the management of arrangements for travel, accommodations, hospitality, vendor management, communications, and other key meeting logistics.
