Adecco is currently assisting a local client in their search of a Administrative Assistant to join their organization. This would be supporting the Director of Finance in the responsibilities of the Finance Department and assisting in maintaining the accounting procedures and protocols. The opportunity is direct hire located in Melville, NY.
Responsibilities of the Finance Assistant:
Prepare bank deposits, and scan or bring deposits to bank
Daily data entry of all payments into Accounting System
Monthly reconciliation of bank statements with Accounting System
Resolves account discrepancies by investigating documentation; payments, or adjustments.
Contact clients on all invoicing issues via phone, email
Perform collection and allocation of payments.
Monitoring customer account details for non-payments, delayed payments and other irregularities communicate with clients regarding outstanding payments, and provide status update report to management.
Support Human Resources in payroll process and payroll transmission within ADP system.
Investigate and resolve customer queries as needed.
Responsible for assisting Finance Department in Month End close of client accounts. May need to stay late to ensure Monthly closing reports and invoices go out by designated time
Enter bills for review and payment in accounting system and posting account transactions.
Maintains financial security by following internal accounting controls.
Prepare monthly spreadsheets tracking client aged trial balances and appeals income.
Perform such other accounting, financial, or administrative tasks as may be required from time to time - quite often on short notice - by the Director of Finance.
Assist departmental Managers and other members with special projects.
Qualifications of the Finance Assistant:
A Bachelors or Associates degree in accounting, finance or business administration with 2 years' minimum experience, or have worked 5 plus years' as bookkeeper or finance assistant
Must be highly skilled in dealing with financial and numeric data processing
Must be skilled in using Accounting Software preferably experience with QuickBooks & ADP
Must be highly skilled in use of Excel Spreadsheets, and use of MS Word and Office Suite
Must have excellent work habits, be deadline-oriented, possess good time management skills, with great attention to detail, and maintain confidentiality of private financial data.
