Role: The Administrative Assistant role at State Street is an exciting challenging and highly visible role. This role will be part of the Legal Corporate Administration Regulatory Affairs and Security (LCARS) organization and will be one (1) of a pool of three (3) Administrative Assistants supporting the Legal team and reporting to the Chief Administrative Officer of LCARS. The successful candidate(s) will need to take initiative exercise independent thinking juggle multiple projects set priorities and meet aggressive deadlines in a fast paced environment. The Administrative Assistant must have strong interpersonal and organizational skills and be interested in working in a professional and team-oriented environment. In this role the candidate will have the ability to learn about State Street; depending on personal motivation and career goals the candidate will have the ability to pursue other exciting opportunities in the organization.
Responsibilities:
    \t
  • \t\tProvide administrative support to professionals in the Legal Department
  • \t
  • \t\tManage the creation and editing efforts for presentations in PowerPoint
  • \t
  • \t\tManage report creation and maintenance in Excel
  • \t
  • \t\tCoordinate meetings including reserving conference rooms catering and audio visual support
  • \t
  • \t\tCoordinate business travel and process expenses in a timely manner
  • \t
  • \t\tProvide light technical assistance including printer support and serve as a liaison with the IT help desk
  • \t
  • \t\tCoordinate and oversee document production and special projects as requested
  • \t
  • \t\tResearch and compile materials needed for important meetings calls and projects
  • \t
  • \t\tWork with HR on personnel matters including on-boarding new hires
  • \t
  • \t\tOrder equipment and supplies and coordinate personnel moves
  • \t
  • \t\tProvide backup support to Executive Assistants within the Legal Department
Desired skills and experience:
    \t
  • \t\t2+ years of administrative experience
  • \t
  • \t\tStrong Proficiency in Microsoft Office Suite; specifically in Excel (pivot tables etc.) and PowerPoint (presentation creation etc.)
  • \t
  • \t\tAbility to adapt to shifting priorities meet deadlines and effectively execute in a fast paced environment
  • \t
  • \t\tProactive approach to problem-solving and prioritization complemented by strong decision-making capability
  • \t
  • \t\tExcellent communication skills and written skills. Must have the ability to comfortably interact & communicate with all levels of the organization

  • \t\tExcellent organizational skills with strong attention to detail

  • \t\tProven ability to handle confidential information with discretion
