Provides administrative, clerical and business detail by performing the following duties for the executive staff including the Vice President/General Manager and their direct reports (3 VP of sales, engineering director, financial controller, HR Rep, Marketing Manager, and Operations Director) Essential Duties and Responsibilities Performs a variety of tasks including routing incoming mail, composing correspondence, answering telephone, maintaining file system Takes notes on computer, or transcribes from voice recordings. Scheduling travel, assisting with expense reports, ordering basic supplies and coordinating luncheons. Administrates manager's schedule, makes appointments and documents attendance and vacation schedules. Coordinates and arranges meetings, prepares agendas, reserves and prepares facilities, and records and transcribes minutes of meetings. Maintains and/or distributes organizational charts, phone lists, birthday cards, employee and plant information Running queries and mining data to run weekly, monthly, quarterly reports for Sales/Product/Region, etc. Compiles and coordinates the various reports for Hart & Cooley. Assist and document activities related to corrective and preventative actions and continuous improvement terms. Assisting in auditing functions from planning through reporting and follow-up resolutions. Basic HR Functions - working with spreadsheets (open positions, attendance, etc) Basic Finance Functions - purchase products, run sales reports, expense reports, global payment requests, administer the Runzheimer employee car program.
