Job Description:
Provides administrative, clerical and business detail by performing the following duties for the executive staff including the Vice President/General Manager and their direct reports (3 VP of sales, engineering director, financial controller, HR Rep, Marketing Manager, and Operations Director) Essential Duties and Responsibilities Performs a variety of tasks including routing incoming mail, composing correspondence, answering telephone, maintaining file system Takes notes on computer, or transcribes from voice recordings. Scheduling travel, assisting with expense reports, ordering basic supplies and coordinating luncheons. Administrates manager's schedule, makes appointments and documents attendance and vacation schedules. Coordinates and arranges meetings, prepares agendas, reserves and prepares facilities, and records and transcribes minutes of meetings. Maintains and/or distributes organizational charts, phone lists, birthday cards, employee and plant information Running queries and mining data to run weekly, monthly, quarterly reports for Sales/Product/Region, etc. Compiles and coordinates the various reports for Hart & Cooley. Assist and document activities related to corrective and preventative actions and continuous improvement terms. Assisting in auditing functions from planning through reporting and follow-up resolutions. Basic HR Functions - working with spreadsheets (open positions, attendance, etc) Basic Finance Functions - purchase products, run sales reports, expense reports, global payment requests, administer the Runzheimer employee car program. Other duties may be assigned. Supervisory Responsibilities This position has no supervisory responsibilities.

EDUCATION AND/OR EXPERIENCE Associates' degree from college or university; or one to two years related experience and/or training; or equivalent combination of education and experience. LANGUAGE SKILLS Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public. MATHEMATICAL SKILLS Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs. REASONING ABILITY Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations. COMPUTER SKILLS To perform this job successfully, an individual should have excellent knowledge of ERP Systems, Oracle, Microsoft Office (Outlook, Excel, Word, Access, and PowerPoint) in a Microsoft Windows operating system CERTIFICATES, LICENSES, REGISTRATIONS None Required OTHER QUALIFICATIONS None Required OTHER SKILLS AND ABILITIES Attendance is an essential job requirement defined as having regular, consistent, reliable, punctual and predictable attendance including the ability to work regular hours and shifts, overtime before and after shifts and on weekends.
