JLABS (“JLABS”) is the external R&D engine of Johnson & Johnson, catalyzing a community of entrepreneurs in health, operating a network of life science incubators focusing and accelerating emerging through its development, and supporting the portfolio to successful partnering and funding.
The Administrative Coordinator provides office services by implementing administrative systems, procedures, and policies. Accommodating the special needs of staff while completing day to day operations. Establishes and supports the culture at JLABS.
The Administrative Coordinator is responsible for greeting and registering guests, tracking visits, providing general information to the public and licensees, assisting with inventory and restocking office supplies, receiving and distributing incoming packages including temperature sensitive packages that need appropriate storage, assisting the Marketing Department with events and onsite visitors, maintaining contact database, expense reports, managing projects, compiling reports, preparing and editing presentations, scheduling, filing, scanning, faxing, word processing.
The Administrative Coordinator uses discretion when addressing routine and exceptional inquiries from the public and licensees. Provides updates on projects and activity progress. Gathers and analyzes data as requested by management. Makes or suggests corrections for process improvement as necessary. Performs a variety of tasks for the department to facilitate the efficient operation of the organization.
A minimum of a Bachelor’s Degree along with 2-4 or more years of related experience is required. The Administrative Coordinator must be proficient in MS Office applications including Word, Excel, Outlook, and PowerPoint. Salesforce experience is preferred.
The ideal candidate will have a strong work ethic, be professional, organized and detail-oriented. This is a team-oriented position that plays an integral role in facilitating processes and procedures. They will also demonstrate the ability to work independently with minimal direction. We seek a self-motivated individual ready to take on the many functions of operations. Candidate must possess excellent interpersonal, written and verbal communication skills.
