The Amgen Global Health Economics (GHE) is looking for an Administrative Coordinator (AC) to join a team of collaborative, data-driven, innovative professionals passionate about making clinical development at Amgen a best-in-class capability.
This role will report to the Executive Director and support a team of approximately 20 Full Time employees. The AC will be responsible for complex administrative support activities related to the day-to-day business operations of the GHE department. This Administrative Coordinator will work in a fast-paced environment with a wide range of cross-functional stakeholders internally and externally.
Manage calendars and schedule meetings
Coordinate with internal governance groups to ensure appropriate GHE representation on an agenda driven basis
Prepare agendas and take action items
Organize meeting rooms, including logistics, catering and equipment needs
Coordinate local and international meetings: arranging travel, meeting arrangements and visitor accommodations
Make travel arrangements and prepare expense reports for GHE staff
Order office supplies
Arrange purchase orders
Manage departmental administrative files
Responsible for taking, transcribing and distributing meeting minutes and project tracking (i.e. budget, database, and timelines)
Provide backup support to other department Administrative Coordinators
Assist supervisor in coordination of management issues (i.e. focal reviews, goals and department/staff goals and objectives)
Interact with outside vendors and various levels of management
Assist with special projects
Associate's degree and 2 years of Administrative experience
2 years in a technical school setting with hands-on experience
High school diploma/GED and 4 years of Administrative experience
5+ years of experience in an administrative support role supporting large teams at different levels
Experience providing administrative support to remote staff
Highly organized individual who enjoys problem solving and interacting with multiple cross-functional team members
Strategic thinker who likes to think ahead and anticipate solutions to logistical issues
Experience managing multiple calendars and coordination across multiple time zones
Advanced knowledge of Microsoft Excel, Outlook, PowerPoint and Word (i.e. word processing, presentations and spreadsheet skills), as well as SharePoint
Excellent written, verbal, presentation and communication skills
Ability to work in a fast-paced, deadline-driven environment
Discretion in dealing with proprietary information
Manage interpersonal relationships well
