Provide administrative support to members of Comparative Medicine and their respective groups. This colleague will have daily interactions with the Senior Directors of Comparative Medicine (CM), CM veterinary and technical staff, Principal Investigators/Study Directors, IACUC members, and other CM colleagues who are involved with animal care and use. This role does not have any supervisory responsibilities. ROLE RESPONSIBILITIES Maintain busy, rapidly changing calendar including resolution of meeting conflicts. Schedule group meetings, video conferences and teleconferences and make necessary arrangements to support meetings. Assist management team members in preparation for these meetings by compiling pertinent meeting materials including agendas, pre-read material, presentations, etc. and set-up of meeting area. Make domestic and international travel arrangements and complete subsequent expense reports. Organizes visits for others to site (agenda, reservations, logistics) Creates, composes and edits written material and responds to correspondence, including email. Compose letters or memorandum from verbal directions or from knowledge of Company policy, procedures, and past practice. Creates and formats presentations, spreadsheets and key documents Maintain SharePoint folders, distribution lists, etc. Actively takes the lead on a variety of tasks, processes and improvements for CM group Demonstrates expert knowledge and proficiency regarding general administrative functions and performs these in support of supervisor/staff (telephone, e-mail etiquette, MS office, expense reporting and procurement systems, Cross site access requests, supply/equipment ordering) Skill in using programs such as Word, Excel, PowerPoint, Project, Visio and SharePoint. Requires excellent command of language, grammar and basic applied business math Actively seeks input from other colleagues across zones/divisions Collaborates with other administrative personnel and manages relationships at all levels May be required to work under one of the following: the United States Department of Agriculture Animal Welfare Act and associated Regulations and Standards, the Guide for the Care and Use of Laboratory Animals, Good Laboratory Practices, Public Health Service Policy and/or AAALAC accreditation standards. QUALIFICATIONS High school diploma or GED required CAP or CAP-OM preferred Experience providing administrative support. In general, a colleague at this level will have minimum 1-3 years of experience. Must possess excellent organizational, interpersonal and communications skills as well as sensitivity to handling confidential information. Must be detailed oriented, flexible and possess the ability to work under pressure. Must have positive, can-do attitude at all times. Plan and execute work to meet assigned objectives. Demonstrated calendar management is a must. The ability to learn and apply new procedures quickly will be required. Demonstrated ability to balance multiple priorities and manage time effectively. Excellent command of the English language - both spoken and written Pharmaceutical industry experience preferred.
