This position provides administrative assistance to the Vice President IT Audit, Sr. Director Global Technology, Sr. Director Global Systems and, Sr. Director North America Audit.
  • Manage the technical aspects of Corporate Audit's proprietary Audit Management System (AMS)
  • Manage all activities with external support vendor, and resolve system issues
  • Identify application enhancements and coordinate with requirements external vendor; test any changes before production implementation
  • Develop and provide needed reports upon request
  • Maintain and verify AMS data accuracy, including entering period T&E values for VP and Sr. Directors
  • Accurately maintain consulting expenses AMS and reconcile to the G/L
  • Develop and maintain the AMS user guide as needed
  • Train department associates on system usage

Corporate Audit Communications (Best Practices and Corporate Audit Newsletters):
  • Review content for grammar, diction and formatting - propose changes
  • Compile in compatible application (e.g., Microsoft Publisher, Adobe Acrobat, etc.), free of defects
  • Complete tasks within defined deadlines for issuance

Departmental Website:
  • Manage the Departments Website, including content, layout and any other administration required (including basic HTML understanding)
  • Resolve issues and problems

Audit Events and Training:
  • Assist with special department projects as needed
  • Arrange special events sponsored by or involving the VP or Sr. Directors
  • Assist with semi-annual trainings (i.e., meeting space, hotel accommodations, car service, meals, audio visual equipment, etc.)


Budget Management:
  • Initiate, process and track purchase commitments and invoices in SAP, across multiple CA cost centers, completely and accurately and in compliance with policies
  • Track consulting budget and forecast, working with Audit Directors to ensure accuracy and timeliness of invoices; resolve discrepancies timely.
  • Reconcile leased equipment (laptops, printers, etc.) period reports for accuracy and adjust accordingly on a period basis
  • Assist with periodic budget forecasting and prepare year-end accruals for ongoing professional services and any other expenses incurred but not not invoiced before year end. Ensure that FP&A and/or Control posts them appropriately.


Administration:
  • Basic administrative support (phones, mail, maintain daily calendars, schedule meetings)
  • Schedule meetings with Senior Leaders, coordinating with their Administrative Assistants
  • Distribute correspondence and documents
  • Keep filing system organized and current
  • Assist with the preparation and proofing of key presentations (formatting, creating charts based on data provided)
  • Manage and organize complex international travel requirements selecting cost effective options, process visa applications and guide staff on requirements for International travel
  • Prepare and reconcile monthly T&E reports, including receipt submission and retention of receipts, for the VP and Sr. Directors and validate for policy compliance
  • Schedule and coordinate Audit Department Leadership meetings and prepare meeting minutes
  • Provide administrative activities during the on-boarding process for new hires (ordering laptop, securing office space and phone numbers, etc.)
  • Assist in recruiting and interviewing activities (e.g., scheduling, escorting candidates, proving materials to interviewers)
  • Maintain Corporate Audit Outlook Distribution Lists (current resources + CA alumni)
  • Maintain CA CPE credit files
  • Provide backup Administrative support for department as needed


Qualifications/Requirements

  • Ability to prioritize work and manage multiple tasks and projects
  • Ability to learn quickly and manage proprietary Audit systems and needs
  • Excellent computer skills, particularly the use of application systems
  • Experience operating both domestically and internationally
  • Strong team player
  • Proven experience/understanding of domestic and international travel arrangements
  • Strong detail orientation and organizational skills
  • Ability to act independently, take ownership of work, and demonstrate initiate
  • Proven track record in supporting executive level manager
  • Ability to manage sensitive / confidential information in the most professional manner
  • Professional and courteous phone demeanor
  • Soft and personable relationship skills
  • Bachelor's of Associate Degree
  • Solid experience in an equivalent role (7+ years)


Software Packages Needed:
  • Detailed knowledge of Word for Windows, Excel, PowerPoint and Outlook.,
  • Microsoft Publisher, Adobe Acrobat, or other equivalent application (Preferred)
  • Business Objects and SAP (Preferred)

Additional Comments:
  • Requires working non-core hours as needed
  • Ability to flex schedule based upon the Manager's obligations
