The Document Control and Training Clerk:
  • Performs a variety of change control functions involving both documents and data systems to insure the integrity of company-wide quality system documentation and electronic systems.
  • Works with documentation and archiving elements that satisfy regulatory controls for Medical Device Quality System Regulation including working to compile, organize, review, route and approve documentation, procedures and data structures (i.e. SAP)
  • Provides administrative support to the Site Training organization
  • Is responsible for the record keeping and traceability of training documentation including attendance forms and metrics reporting
  • Executes as the primary administrator of and maintains the Learning Management System (LMS) in the site
  • Centralizes training coordination and communications for the site
  • Processes quality system documentation for review, approval, and distribution
  • Prepares electronic files for public publish/posting on released site and employee notification
  • Reviews, organizes, processes and scans documentation for archival
  • Administers Quality System Operating Procedures including editing to comply with standard formats prior to distribution
  • Maintains printed and electronic master files for all quality system documentation
  • Processes and maintains Change Order documentation along with any enterprise data (i.e. SAP)
  • Prepares training metrics and results as required by management
  • Verifies data entry and hard copy training records to ensure data is accurate through periodic inspection
  • Coordinates class arrangements, facilities, and needed resources for training programs
  • Provides support to the training area during audits/inspections
  • Coordinates and maintains the training area resources (equipment and material)
  • Communicates and escalates to the next management level as needed
  • Understands and adheres to all applicable laws and policies of the company and industry regulations
  • Diligently participates in compliance program-related activities as denoted by management 

  • High school diploma or equivalent required; Bachelor degree preferred
  • 1+ years of relevant working experience in document control/ training preferred
  • Experience working in a FDA and/or European regulatory environment required
  • Proficiency in Microsoft Office including Word, Excel, and PowerPoint required
  • Excellent communication skills required; Presentation skills preferred
  • Attention to detail in execution of work required
  • Ability to work under time constraints, handle multiple assignments with limited supervision and ability to prioritize required
  • Ability to work closely with and communicate with technical and operational personnel required
  • Ability to perform basic math functions such as add, subtract, multiply, divide in all units of whole numbers, common fractions and decimals required
  • Ability to compute rate, ratio, and percent and to draw and interpret graphs and charts preferred
  • Ability to read and apply operating procedures required
  • Ability to work overtime as needed
