eClassified Groups is seeking a sharp, highly organized, internationally minded Executive Assistant to work in partnership with the Vice President of eCG Incubator Markets. eCG Incubator Markets oversee’s the largest group of properties in the eCG portfolio including Gumtree (Australia), Kijiji (Italy), Automobile.it (Italy), Gumtree (South Africa), Vivanuncios (Mexico), and others.

As the Executive Assistant to the Vice President of eCG Incubator Markets you will be a high-energy, self-motivated, proactive, detail-oriented, resourceful and dependable individual who is passionate about his/her work. While your Executive Assistant role will primarily support the Vice President of eCG Incubator Markets, you will also engage with direct reports, champion operational needs, and build strong relationships with stakeholders. Responsibilities:

  • Perform a broad variety of administrative tasks for the Vice President including: managing an extremely active calendar of appointments; completing expense reports (i.e., manage administrative expenses, invoices and approvals); manage and maintain contacts database and filing systems; compose and prepare correspondence on behalf of the VP.
  • Meeting: scheduling meetings, reserve rooms, capture meeting minutes, preparing documents, completed document distribution and tracking follow-ups for key meetings.
  • Event planning: Organize office events, team off-sites and All Hands meetings (i.e., arrange for venues, food, technical support and materials as needed).
  • Host visitors: Interface with partners and outside vendors including e-mail communications, in-person meetings and ad hoc interactions.
  • Build effective relationships with EAs across the company.
  • Travel: Arrange international flights, accommodations and visas for the VP and direct reports (i.e., arranging complex and detailed travel plans, itineraries, and agendas, compiling documents for travel-related meetings, and coordinate meeting preparation).
  • Provide some ad-hoc limited support and guidance to direct reports and broader team.

Minimum Qualifications:

  • A Bachelors’ degree (or equivalent) in Business Administration or other related field.
  • 5+ years’ experience as an EA at the Executive level.
  • Proven proficiency across office software applications (i.e. Outlook, Word, Excel, PowerPoint, etc.)
  • Experience working effectively in teams to achieve business results, and working across diverse cultural environments and time zones.
  • Demonstrated success working with tight deadlines in a fast-paced environment.
  • Proven success engaging at all levels of an organization.

  • Good sense of humor and prepared to work hard and play hard!
