In this role, you'll join our Global Financial Services team in Stamford, CT and report to the VP Global Financial Services. You will be responsible for:
  • Type and prepare correspondence, memos, presentations, executive communications, and staff departmental and other meetings.
  • Handles all confidential material relevant to company operations.
  • Screens senior executive's phone calls and incoming mail.
  • Prepares and oversees the executive's expense reports.
  • Maintain calendar, schedule appointments, coordinate meetings, and make complex travel arrangements, as well as arrange use of conference rooms. Work in a team environment and with all levels of management to ensure ongoing, accurate communication among all staff members and to support timely smooth workflow throughout the department.
  • Ensure senior executive is fully prepared in advance of all meetings, presentations ready and distributed as needed.
  • Work closely with senior executive's team and their assistants throughout the organization and with external clients; must build positive relationships with peers in the organization.
  • Serves as a contact to people inside and outside the company.
  • General office duties including answering phones and directing inquiries to the appropriate sources, sorting mail, order/manage department supplies and materials.
  • Collaborates with various staff and departments in preparing special projects.
  • Prepares PowerPoint presentations and works extensively with Microsoft Office Suites.
  • Proficiency in B2B, e-certify and Travelocity procurement processes. Maintains office supplies and common areas for the office.
  • Partner with IT and Procurement on task assignments for department.

  • A minimum of eight or more years of administrative/executive secretarial positions in a corporate setting.
  • Must have strong working knowledge/experience with MS Office Suite (Word, Excel, PowerPoint, Outlook, Visio and MS Project). Must have ability to learn other PC-based software applications.
  • Detail oriented with excellent secretarial skills including typing and proofreading.
  • Must have excellent organization and time management skills with the ability to work under time pressures and the ability to handle a multitude of situations, analyze and resolve problems and effectively deal with new situations as they arise.
  • Must be flexible regarding assignments and hours.
  • Excellent knowledge of administrative practices and procedures.
  • Superior communication and interpersonal skills are critical.
  • Must have advanced expertise in preparation and/or presentation of PowerPoint) and spreadsheet (Excel) software.
  • Must have knowledge of various social media sites including ability to perform online research.
  • Ability to maintain confidentiality and to handle sensitive, complex, confidential and proprietary information.
  • Strong follow through and adaptability to changing requirements are key in this role.
  • Associate degree in business or secretarial science (two year program) preferred.
