The Executive Admin Assistant will provide support to the Chief Medical Officer Pharmaceuticals & Head of the Global Medical Organization. 

Primary Responsibilities:
  • Manage calendar and schedule
  • Schedule and organize meetings with varied internal and external groups including with internal executive management, departmental staff, and external stakeholders
  • Professionally handle communications and queries to the CMO office from varied stakeholders including patients and customers
  • Arrange domestic and international travel
  • Liaison to other departments for additional resources and external customers
  • Creation of documents such as letters, contracts, consulting agreements etc. and discrete management of sensitive and confidential information
  • Electronic and physical record organization and document management
  • Printing, duplication, retrieval from various DBs, distribution to team members
  • Support research functions such as article retrieval and research
  • Coordination of conference materials
  • Preparation of binders & presentation materials
  • Expense report preparation and review of CMO-direct report gXRS to ensure compliance with company guidelines
  • Provide system delegation approvals as directed
  • Management of departmental resources: office supplies, equipment etc.
  • Share Point Owner several sites
  • Leadership and Active participant in GMO Administrative Assistant Community of Practice
  • Responsible for coordination of department endorsement processes to be followed by GMO staff
  • Performs other related duties as required


Qualifications
  • High School Diploma or equivalent required; Bachelor’s coursework preferred
  • Minimum of 6+ years of administrative experience supporting a senior executive is required; preferably at the VP, President/Partner or C-level
  • Extensive experience managing a global, complex calendar and coordinating international travel is required
  • Previous experience in meeting technology, such as Global Connect, Skype, WebEx, or other interfacing technology is preferred
  • Proven experience performing administrative duties requiring limited autonomy in making decisions independent of the current supervisor and that of the department is required
  • Proficient knowledge of Microsoft Office (Word, Excel, PowerPoint), ORG Plus is required
  • Working knowledge of Visio is preferred
  • Proven experience managing and responding to multiple priorities and shifting demands while maintaining a sense of urgency is required
  • Ability to handle confidential and sensitive information with professionalism and discretion is required
  • Superior communication skills and the ability to engage in highly effective and articulate communications with associates at all levels including executives within Johnson & Johnson and from external sources is required
  • Possesses in-depth knowledge of organizational systems and policies, objectives, policies and procedures is preferred
