Provides administrative support to 3 Vice Presidents within the Direct line of business.  Responsibilities include: scheduling meetings using Outlook, making travel arrangements (which may include international travel) as well as preparing and submitting subsequent employee expense reimbursements, typing letters, memoranda and reports using PC programs and software. Organizes and prioritizes incoming mail, maintains file call-up systems and databases.  Maintains attendance records for the department.  Answers telephone calls, takes messages, schedules appointments, etc. Assembles and collates materials for distribution. 

    

 

  • Scheduling and maintaining calendars including appointments and meetings. Coordinating calendars of multiple individuals to avoid conflicts and find appropriate times for meetings with internal and external associates, vendors and their assistants
  • Scheduling travel to/from business trips including airfare, hotels, car service etc. and taking initiative to collect receipts and submit reimbursement requests promptly
  • Composes correspondence expressing manager's viewpoint, drafting and revising correspondence and assisting with the preparation and distribution of various reports and presentation materials including aggregating materials and formatting
  • Work collaboratively with the other executive administrative assistant’s within the business and also across the Executive’s peers in the America’s.
  • Answers telephones, directs inquiries as appropriate, routes call to appropriate party for prompt and efficient resolution
  • Manages a wide range of administrative support tasks and provides general administrative assistance as necessary
  • Prioritizes and manages multiple projects for the team and follows through on issues promptly and effectively
  • Coordinates department's administrative activities; may recommend improvements to administrative procedures.
  • Maintains documents and records following administrative policies.

 

  • 5+ years of administrative experience.
  • Ability to see and plan with strong attention to detail.
  • Creative, positive, engaging, upbeat and can-do attitude.
  • Highly organized, able to wear multiple hats, and accomplish a multitude of tasks in an ambiguous, fast-moving environment with a self-motivated drive to accomplish.
  • Strong software knowledge including all Microsoft Office programs.
