Executive Assistant for the Global Head of Research, Economics & Strategy

This position will be responsible for providing administrative support of a highly responsible nature to the Global Head and 3 direct reports. This role may include project work involving research, advanced problem solving, and the ability to make sound decisions and take appropriate action. The role requires a high level of accountability and calendar flexibility beyond a standard work day.

Administrative functions include, but are not limited to:

  • Inbox management for the global head (as required);
  • Proactively resolving issues and questions as they arise;
  • Calendar maintenance;
  • Travel arrangements and coordination with internal and external clients;
  • Process expenses;
  • Answer calls;
  • Providing a high level of service to each caller;
  • Coordinate and prepare as needed for meetings.

Position also includes managing administrative processes efficiently for the business unit including PTO, time away, travel calendars, database management, regular email blasts and contact lists maintenance. The role may include business management functions that include researching and resolving compliance, HR and technical issues. Daily contact with internal and external clients as well as managers, seniors, peers and subordinates. Media communication and a strong understanding of the business unit supported are very important. Must be able to gather and compile data, produce reports, independently compose and distribute memos and other communications. An understanding of expense, HR, and compliance processes and procedures in order to provide support to the manager and as a liaison to the business partners. Plan and coordinate offsite meetings and events in conjunction with the Meeting & Events and Business Development groups.

They are accountable for execution of all applicable risk programs (Credit, Market, Financial Crimes, Operational, Regulatory Compliance), which includes effectively following, and adhering to and if applicable Wells Fargo policies and procedures, appropriately fulfilling risk and compliance obligations, timely and effective escalation and remediation of issues, and making sound risk decisions. There is emphasis on proactive monitoring, governance, risk identification and escalation, as well as making sound risk decisions commensurate with the business unit’s risk appetite and all risk and compliance program requirements.

Required Qualifications

  • 5+ years of administrative support experience

Other Desired Qualifications
  • Ideal candidates will be degree qualified and possess a minimum of 3+ years relevant experience.
  • Prior experience directly supporting senior level managers and their direct reports.
  • Must be proficient in MS Word, Outlook, Excel, PowerPoint and Access.
  • Requires a high level of tact, integrity, assertiveness and flexibility.
  • Professionalism, enthusiasm, and resourcefulness are a must.
  • Demonstrated ability to work well without direct supervision in a fast-paced environment.
  • Strong judgment to make independent decisions and resolve issues in a timely manner.
  • Excellent written and oral communication skills, organizational skills, detail-oriented, motivated and proactive.
  • Must be a team player fostering trust and building strong relationships.. Flexibility to work overtime as needed.
  • Experience with Wells Fargo systems and processes highly preferred.
