This is an exciting opportunity for an Executive Assistant to support the VP and Head of Janssen Biotherapeutics (JBIO).
This position is generally varied, including complex administrative duties and project-oriented assignments requiring the use of sound judgment and discretion, independent assessment and resolution of complex situations/problems. Must have the ability to respond to shifting priorities. Duties will include managing complex and changeable calendars, scheduling meetings, making complex domestic and international travel arrangements and managing expense reports. This person will have regular contact with senior management within and outside Johnson & Johnson to provide or gather information often of sensitive and confidential nature. This person may scan mail for the executives and highlight items for review or action. May respond to routine correspondence under own signature or draft response for executive's review on more complex correspondence. Follows up on items delegated to others by executive. Screens calls and responds to complex inquiries from all levels of employees or external sources regarding a variety of questions. Must have ability to make last-minute changes to calendar due to shifting priorities. Must often make decisions without prior approval from assigned leaders. Working with others responsible for managing travel in the department. Maintain a log of all travels and efficiently manage travel budget for the department. Excellent collaboration and teamwork skills are required in order to coordinate with other administrative staff to accomplish departmental activities.
Under minimal supervision, incumbent performs advanced and complex secretarial and administrative responsibilities, i.e., independently compose correspondence based on knowledge of executive's intentions; prepares documents of a highly confidential and sensitive nature; executes rigorous follow-up by ensuring issues are resolved and projects completed; arranges meetings and complex domestic and international travel arrangements/itineraries. May provide direction/ coordination of workflow to clerical support persons or other administrative coordinators.
