Executive Assistant

Group Insurance (GI) is seeking a self-starter to provide effective and efficient administrative support to the head of Human Resources for Group Insurance in Roseland, New Jersey. The selected candidate must be capable of working independently in a fast-paced environment, taking initiative and exercising good judgment when performing assigned and ad-hoc duties. This position offers the opportunity to interact with and support GIs President and Strategic Leadership Team (SLT). Responsibilities include administrative work of various degrees of difficulty and complexity:
  • Proactively managing the calendar, including scheduling large and/or complex meetings with the Strategic Leadership Team (SLT) and other internal and external senior executives
  • Screening and where possible, responding appropriately to emails on increasingly complex matters, in a manner that reflects an ability to discern between critical and less urgent matters
  • Preparing agenda and distributing materials for weekly staff meetings and other executive meetings
  • Assisting with the creation of presentations and other documents
  • Coordinating special projects with a high degree of efficiency and confidentiality
  • Managing the travel schedule, arrangements and itineraries in a timely, detailed and organized manner
  • Maintaining electronic and paper files and reports in accordance with the Company's records retention guidelines
  • Effectively managing the reimbursement process for business expenses
  • Providing general administrative support, as time allows, for the GI Human Resources team

  • 5 years administrative assistant experience, including 2 years supporting senior executives
  • Excellent proficiency in Outlook, Microsoft Word, Power Point and Excel
  • Strong verbal and communications skills
  • Strong organizational skills and ability to manage small projects
  • Ability to, multi-task and strong prioritization skills
  • Ability to take initiative and anticipate the needs of Principals
  • Flexibility to work overtime as required
  • Successful track record of working independently in fast paced environment
  • Ability to partner positively with a team of professional Executive Assistants for office coverage and calendar planning
