Executive Assistant

Job Responsibility and Daily Tasks
• Provide executive level administrative support to principals as they interface with business partners and customers up to the most senior levels within the enterprise
• Maintain calendars and perform filing, photocopying and scanning for principals
• Screen and respond to routine calls and correspondence
• Schedule meetings and coordinate meeting logistics, including reserving conference rooms, dial in numbers for conference calls, preparing meeting materials and other logistics
• Prepare Microsoft Excel spreadsheets, Word documents, and PowerPoint presentations
• Coordinate domestic and international travel arrangements including preparing detailed itineraries and submitting and tracking travel expense vouchers
• Serve as backup and partner with other executive assistants to ensure coverage during vacation and other absences
• Perform other administrative duties and special projects as assigned
• Create and proofread documents such as agendas, meeting summaries, meeting minutes, memos and presentations
• Print documents and prepare packages of materials
• Support various ad-hoc projects

• Minimum 5 years of experience as an Executive Assistant, preferably supporting senior level executives.
• Strong work ethic, with the flexibility and willingness to persevere in ambiguous situations and a changing environment
• Clear and concise written and oral communication skills with the ability to interact effectively and professionally with all levels in the organization
• Intermediate to superior proficiency using Microsoft Office (Word, Excel and PowerPoint) and Outlook
• Superior organization skills, attention to detail, and editing & proofreading capabilities
• Proactive in taking initiative to provide administrative support/guidance where it is needed without instruction and following through
• Ability to work under minimal supervision and effectively prioritize multiple assignments under tight time constraints
• Excellent judgment and discretion required in handling highly sensitive and confidential information in a respectful manner
• Solid partnering skills with the ability to work well with all levels in the organization
• Flexibility to work overtime, as needed
