This role assists the CEO and the executive in the management of their schedules, handles communication from both internal and external sources, and executes complex and diverse special projects, as directed. This individual must exhibit attention to detail, accuracy, enthusiasm, and a focus on maintaining confidentiality of all corporate, family, and personnel matters. In addition, the role will manage the corporate office and provide administrative support to its staff. Responsibilities: Organize and maintain business and personal calendars for the CEO and the executive and schedule all travel arrangements. General administrate tasks for Executives. Draft reports, documentation, and correspondence (formal and electronic) of highly sensitive and confidential information pertaining to financial and administrative matters of the founder, family, and company. Organize meetings, prepare/distribute materials, and transcribe minutes for file records and dissemination. Screen correspondence and respond independently, when possible Represent the CEO, company and family in a highly professional manner. Work on maintaining continuing education documentation. Liaison with contractors and vendors for three residences. Implement policies and procedures for the production of documents, work flow, filing, ordering supplies, record maintenance, and other clerical services. Order and maintain appropriate supply inventory levels Schedule and coordinate Lunch and Learn presentations. Special projects as assigned, such as data collection and research, art collection cataloguing, etc. This is a direct hire role!
