Our client is an investment bank located in New York City.
We are a small boutique firm, comprised currently of 2 senior partners and 4 junior professionals. The firm is involved in many high profile sports transactions both domestically and internationally.
The Executive Assistant's (�EA�) role is to provide basic administrative support, primarily to the firm's partners, as well as to oversee and contribute to other areas of the firm as highlighted below:
Calendar management/scheduling, meeting reminders etc.
Updating and distributing weekly the �Pipeline� of current and prospective deals
Coordinating travel as needed, including air, hotel, car service, etc.
Managing the firm's customer relationship management database of contacts by uploading information and meeting notes and occasionally conducting and printing searches generated by the database
Overseeing deal and firmwide expenses and coordinating those efforts with the firm's auditor/accountant/bookkeeper etc.
Maintaining compliance with FINRA (regulatory body) which entails making sure appropriate documents and reports are filed with FINRA and communicating with our external Financial Operations consultant
Working with o/s vendors as needed including Healthcare Insurance/ IT/Telephony/Fedex/ Payroll/Office Supplies and others on an ad-hoc basis
Basic filing and office organization as well as being responsible for the look and feel of the office
Helping to manage the hiring process primarily for summer intern positions: posting jobs on key websites, coordinating resumes, interviews, etc
Basic research as directed (when capacity allows) and other activities ancillary to the above that contribute to the success of the firm
The Executive Assistant will be given a great deal of responsibility/autonomy and will be expected to work in a self-directed manner. Work volume ebbs and flows, making it necessary to plan execution for both short and long term projects.
The ideal candidate should have approximately 3 years of experience as an assistant and possess the following skills/characteristics:
positive �can-do� attitude
resourcefulness and ability to get things done with limited supervision;
strong �follow-up� skills; can be trusted to complete assignments and tasks without being repeatedly reminded
ability to anticipate work and be proactive in carrying assignments through to completion
excellent communication skills (written and verbal)
and an ability to be a self-starter and team-player within a small organization
prior experience and a high degree of comfort with basic Microsoft Office usage (word, excel, powerpoint, and outlook)
prior experience in the finance industry is preferable but not a requirement
On a personal level, the successful candidate has to be intelligent and self�motivated with a good sense of humor and a cheerful disposition. Having an important role in a growing business, the successful candidate must be resourceful and comfortable working in and contributing to a loosely-structured entrepreneurial environment.
Office hours are from 8:30am � 6pm with no overtime requirements.
