Adecco is currently assisting a local client in their search to fill a Front Desk Receptionist position in Duluth, MN. This is a temporary opportunity with potential for permanent hire in the future. As a Front Desk Receptionist you will be responsible for greeting visitors and making them comfortable while waiting, operating a busy multi-line telephone system, and answering incoming calls and directing callers to appropriate personnel. Responsibilities for this Front Desk Receptionist position include:
Answer incoming telephone calls, determine purpose of callers, and forward calls to appropriate personnel or department
Take and deliver messages or transfers calls to voice mail when appropriate personnel are unavailable
Answer questions about organization and provide callers with address, directions, and other information
Welcomes on-site visitors, determine nature of business, and announce visitors to appropriate personnel
Coordination and Procurement of office supplies
Special event coordination
Monitor visitor access
Maintain a neat lobby area as well as the plan room. Putting plans away each night that are left behind on counters
Schedule conference rooms and maintain neat, tidy appearance in small conference room by the reception area at all times
Provide administrative support to other office staff in the office as needed
Maintain security system, adding/deleting users as needed. Training new users as needed
Receive, sort, and route mail, and maintain and route publications. Receive packages/drawings, etc. and distribute in a timely manner
Maintain fax and copy machines, assist users, send faxes, and retrieve and route incoming faxes
Take occasional payments for plan deposits
Print fax cover sheets, memos, correspondence, reports, and other documents when necessary
Perform other clerical duties as needed, such as filing sublists, photocopying, and collating. Assist the Project Assistants and others in the office as needed for various projects
Maintain phone system, including programming the phones, calling for service when needed, upgrading phones, training new employees in phone usage
Maintain a professional work environment at the front reception area
High school diploma or general education degree (GED); one year of related experience and/or training; or equivalent combination of education and experience
Knowledge of Microsoft Word Processing software, Excel Spreadsheet software, and Intranet software
Experience handling very busy, multi-line phone system, along with customer service experience
Excellent typing speed with a low error rate
Hours for this position are Monday-Friday. Compensation is based off of experience.
