  • Prepare the office for the day; print physician schedules

  • Answer telephone calls courteously and efficiently

  • Receive all types of calls and make various types of appointments for all locations

  • Turn on/off phone system, put phones on service when necessary

  • Further develop and maintain a full understanding of all client's doctor preferences and procedures

  • Monitor all physician schedules

  • For all physicians, confirm patients 2 days prior to scheduled appointments

  • Ensure 'new patient' on-line registration including patient histories and demographics are done in a timely manner prior to scheduled appointments

  • Verify and update all demographic and insurance information upon scheduling all appointments

  • Obtain insurance information on all reconstructive consults prior to their initial visit

  • Confirm all appointments except new and established cosmetic consults and injectable appointments

  • Fill out cosmetic intake form and pass the forms along to the Cosmetic Phone Coordinators after making an appointment for a patient

  • Maintain and further develop a full working knowledge of injectable products, current promotions and services offered by client

  • Maintain and further develop knowledge of payment process (how to create a bill, how to add/apply a payment, etc.)

  • Maintain a clean and organized work station at all times

  • Maintain coffee bar; ensure the area is fully stocked and clean

  • Maintain waiting areas and ensure their cleanliness

  • Maintain a professional appearance and business attire

  • Participate in all departmental meetings, scheduled training sessions and company events to support team building

  • Adhere to all departmental processes and procedures including the 'Check-In/Check-Out' protocol

  • Maintain a current version of the patient relations representative employee handbook

  • Have a working knowledge of our company website

  • Check and respond to all emails throughout the day on a daily basis

  • Serve as a liaison between all departments within client

  • Assist the Patient Relations Representative Supervisor with any administrative duties he/she may need help with

  • Print super bills and create new patient packets, in preparation for the next day

  • Remain in the office until all patients leave

  • Complete a walk-through of the office checking all exam rooms, treatment rooms and bathrooms, ensuring the office is empty before leaving

  • Request for days off through ADP

  • Update and edit electronic sign in lobby

  • Proficient in Brilliant Distinction (Redeem coupons, issue points and collect money)

  • Adhere to Money Handling and Cash Box Protocols

  • Must be able to open and close satellite locations

  • Must be knowledgeable and understand all DBMS treatments and procedures

  • When necessary will be responsible for training new patient relations representatives and Deep Blue Med Spa staff on desk and phone procedures

  • Comply with HIPAA regulations

  • Maintain knowledge regarding the payment process (creating bills, adding/applying payments, etc.)

  • Maintain money sheet and printed report at the end of a shift

    Job Requirements Excellent communication and interpersonal skills
    Knowledge of practice management software (NexTech) and Microsoft Office applications (Excel, Outlook, PowerPoint, Word)
    Working knowledge of medical billing protocol and medical terminology
    Working knowledge of insurance plans and self-pay patients
