Event Coordinator
The purpose of the Event Coordinator position is to manage the registration and attendee logistics for Client Internal events. In this cross-franchise role, the Event Coordinator will work closely with the Meeting Planners on client Meetings & Conventions team on events that require registration of attendees.

**This position will sit onsite with our client in Cincinnati, OH
Client Specific Roles & Responsibilities
  • Create registration websites and surveys in an event management system
  • Manage registrations, which includes importing an invitation list if needed, managing the capacity and waitlist registrants, ensuring event emails send successfully
  • Manage the housing block and communicate directly with the hotel for each event
  • Manage group and individual ground transportation for attendees, including the coordination of rental vans and choosing drivers, if needed
  • Coordinate catering for training events
  • Send air travel guidelines to attendees and HCP faculty, receiving travel itineraries if needed
  • Order materials/supplies for training events
  • Book room and lab space for events
  • Coordinate offsite activities when needed
  • Send out email communications to attendees (confirmation emails, welcome letters)
  • Work closely with Client Commercial Education managers and trainers on event details
  • Prepare event materials including name tags, table tents, agendas, certificates
  • Track budget spend for events in event management system, including HCP Open Payments
  • Submit Purchase Orders for vendors
  • On-site support when needed (10%)

  • A minimum of 2 to 3 years relevant event coordination experience
  • Excellent interpersonal, written and verbal communication skills are required
  • Bachelor Degree is preferred
  • Experience working in event management systems is strongly preferred
  • Proven organizational skills
  • Ability to handle multiple demands
  • Ability to work accurately and timely - in order to meet deadlines
  • Ability to be flexible and handle change well
  • Engage with vendors in an ethical and compliant manner
  • Ensure a high level of integrity and implementation of Credo-based actions
  • Microsoft Word and Excel experience - Beginner/Intermediate level
  • Experience with meeting industry technology a plus, especially for attendee registration
  • Travel Requirements: Overnight travel may be required up to 10%
