We are searching for a proactive, self starting Office Assistant to work the busy front desk, answer the telephones, greet visitors to the office, provide general administrative support to multiple departments within the company. Prepare and scan records of those supported, operating scanning equipment, and assuring quality control of electronic files. Route all incoming and outgoing calls and provide basic information regarding company and services to callers and visitors. Update employee schedules and retrieve messages from voice mail box and distribute them accordingly. Respond to telephone and e-mail requests and redirect as appropriate Ensure lobby and front desk are neat and professional in appearance and maintain Reception Area literature rack. Receive, organize, prepare and prioritize departmental documentations for scanning to electronic imaging system for retrieval and archiving. Input documents into the client records' electronic imaging system. Ensure that image quality of scanned documents is appropriate and conform to company standards. Assign appropriate indices to scanned documents and classify them by document type through barcode forms and data entry. Maintain all client information as confidential.
