Midtown top private equity firm looking for an Office Manager/Operations Assistant. Great environment, benefits and perks.
Summary: The Operations Assistant provides support to several senior members of the administrative team. You are responsible for various essential administrative duties including but not limited to; processing expenses, booking meetings calls and travel, managing the cell phone system and generally acting as backup to the office manager. You may also be responsible for assisting with the organization of special projects. These responsibilities are critical as those supported depend on your organization to help keep us on track and from dropping the ball. You must enjoy working within an entrepreneurial environment that is results-driven and community oriented. You must also have the ability to exercise good judgment in a variety of situations, has strong written and verbal communication, administrative and organizational skills as well as the ability to balance multiple priorities. You will have the ability to work independently but is also expected to thrive in a team environment.
Essential Duties & Responsibilities
Completes a broad variety of administrative tasks including; scanning, faxing, filing, completing expense reports, answering phones, entering business cards and composing and preparing correspondence.
Manage and organize constantly changing calendars.
Handle all travel arrangements both domestic and international.
Successfully coordinate meetings and conference calls involving multiple parties across multiple time zones.
Assists with managing all vendors (requests, issues, onsite visits, projects, etc.) by maintaining a list of open items and communicating with Office Manager until resolved.
Maintains Certificates of Insurance for all vendors communicating with both the building and vendors.
Assists with managing the facilities day-to-day operations and liaison to building management and head engineer (building issues, office issues, fire safety and training, etc.).
Assists with employee onboarding.
Assists with ad-hoc projects including event planning, space build outs and marketing.
Provides phone coverage to those supported and others as needed.
Helps Office Manager manage phone and IT issues by acting as a gatekeeper and reminding employees of support procedures and acting as a backup for major outages.
Maintains confidentiality and discretion at all times.

Proven ability to multi-task and effectively prioritize.
Proficient in Microsoft Office (Outlook, Word, Excel and Power Point).

Education and/or Experience:
Bachelor's degree from an accredited college or university.
1 years of experience, preferably from within the financial industry.
Job Requirements Must have 1 plus years of experience as an Office Manager out of any industry. Must be a college graduate
