Intermediate to advanced knowledge of office programs and email. Excellent problem solving skills, understanding of office procedures and property management responsibilities. Supervising allocate staff, and temporary help, including providing direction and guidance to employees with facility managers input. Assist in performance appraisals, conduct regular 1:1 with staff and manage training requirements. Managing maintenance and daily events of the facility, including providing a quality work environment for employee productivity, liaison and manage vendor relationships, assign office space, coordination of service requests, and manage all aspects of a move. Maintain adequate supply inventory, obtain vendor quotes, arrange for new vendor setup, and monitor vendor payment status. Coordinate all maintenance, ensure operational effectiveness, assist in A/V troubleshooting, and coordinate video conferencing. Maintain personal work productivity log, review staff activity logs, and complete detailed monthly report. Conduct formal facility inspections, maintain inventory of assets, interact with various groups to determine headcount growth requirements, and conduct surveys as requested. Orient new hires to office procedures, and participate in new hire orientation where applicable. Report problems as required, contribute to emergency procedure manual, communicate closure of issue to facility manager and requester. Function as after hours contact for GSOC, provide overall office safety and security, ensure security system and badge assignments are current, coordinate safety procedures and communication to employees on emergency procedures and any other duties requested by facility manager.
Responsible for managing all Oracle share locations. Performs lease administration; working closely with Real Estate Finance and outside legal counsel. Negotiates space, prepares funding approval, and facilitate personnel moves into executive suites or business centers.
As the supervisor of office services you will interface with other Oracle managers, staff, and external customers/vendors overseeing lease negotiation, lease terms, rent commencement, capture and processing of monthly expenses. Maintain lease documentation and coordinate multi-site moves. Responsible for space management, rent checks, variable payments, PO management, funding approvals, and overall site expenses. Function as team lead regarding property manager enhancement requests.
Coordinates the daily activities of a work group, setting priorities to ensure task completion. Provides technical/functional leadership as well as first line supervision, but does not have hire/fire authority. Excellent communication skills. Familiarity with email and MS Office applications is essential. Willing to function as after hours contact for facilities emergencies and be accessible via phone or pager. Prior facilities management or assistant property management experience. and BA/BS degree or equivalent.
