BASIC FUNCTION:

Working as a part of the organization's Pre award team and with leadership from the proposal and negotiation lead, the Pre award Administrator is responsible for subaward preparation and in assisting the Research Administrator in the administration of active grants as well as for proposal development. He/she is responsible for ensuring the smooth flow of work on the sub award as well as excellent customer service on assigned proposals and administration activities.

ESSENTIAL FUNCTIONS:

15% Subaward Preparation
Remain current on federal and sponsor regulations, compliance requirements, and industry best practice relating to subawards. Maintain templates and processes for the creation of federal and non-federal subaward agreements. Work with leadership team, Risk Management, the Office of General Council, and other university offices to ensure all agreement terms comply with University practice and policy. Efficiently and expeditiously prepare, review, and negotiate subaward and subaward amendments and modifications from federal and non-federal sponsors and to lower-tier recipients, coordinating with compliance analyst and senior award acceptance specialist as needed.

15% Subaward Administration
In collaboration with Senior Negotiation and subaward specialist, manage and ensure the smooth progress of subaward agreements and related approvals. Ensure timely execution of the subaward agreements. Participate in subrecipient monitoring activities. Prepare, submit, and track required reports under the Federal Accountability and Transparency Act. Maintain accurate and current data in subaward tracking tools. Act as back up for the creation of subaward purchase orders.

25% Proposal Development
In collaboration with unit assigned Research Administrators, assist faculty members and business unit administrators in the University proposal development and submission process for non-competing continuations, just-in-time requests, and similar pre-award documents. Assess requirements for, obtain, and review internal and external subaward commitment documentation. Create, collect, and retain all official proposal documentation.

20% Pre-Award Team Support
As a productive member of the pre-award team, maintain expertise in entire grant lifecycle process. Provide back up and support to Research Administrators with InfoEd set up and data entry for proposals and collection and retention of all official proposal documentation. Participate in the development, implementation, and maintenance of consistent, efficient, and customer and compliance-focused pre-award business processes. Act as back up to Research Administrators for proposal development and submission activities.

20% Sponsored Project Administration
As a productive member of the organization's grant lifecycle team, assist Research Administrators in the oversight and support of a variety of activities related to pending and awarded sponsored projects, including for no cost extension, advance account, and prior approval requests. Assist investigators and department chairs in assessing the financial risk associated with advance account and no-cost extension requests. Collaborate with and advise principal investigators and SPA grant lifecycle team colleagues to draft and submit communications to sponsors. In concert with sponsor requirements and company policy and in collaboration with financial analysts as needed, submit to sponsors final closeout documents, to include invention statements, contractor release statements, and technical reports.

5% Administrative Assistance to Pre award team
Assistance with organizing the Research Administrator meetings, including scheduling, taking minutes of the meeting. Coordinating the award acceptance team for follow up requests on award acceptance.


MINUMUM QUALIFICATIONS:

Bachelor's degree and two years of experience required. Experience in sponsored project administration, customer service, Microsoft Office, and excellent written and oral communication skills required. Experience in ERP system(s) highly desirable.
