As a Scheduling Project Manager, you will be a trusted advisor who provides balanced and practical advice around staff planning and management. You will work with Corporate Audit leaders to manage resourcing and utilization across the Division, ensuring we have the right people, with the right skills, in the right locations, available at the right time. This is a highly visible position requiring the ability to interact with leaders and managers at all levels. Ability to balance the department needs with the needs of the professional staff is critical to this position.
Assist in the development and execution of Corporate Audit's resource scheduling program.
Assign appropriate audit personnel to engagements. This will involve assessing the engagement needs, reviewing available options, and recommending people that meet the requirements. When appropriate, challenge the schedule, to confirm the most efficient utilization of resources.
Participate in cross-department scheduling meetings; promote and monitor the sharing of resources.
Liaise, influence and challenge effectively to address resource needs and deal with any conflicts.
Prioritize staffing decisions based on engagement risk, specialization requirements, timing constraints, and geographic considerations.
Provide up-to-date management information, analysis and advice on resource availability, actual and projected resource utilization, and total headcount.
Monitor unassigned resources, and act as primary point of contact for unassigned staff; proactively identify assignments for these resources.
Monitor the timekeeping timesheets and ensure time is recorded effectively. Produce reports and escalate cases where accurate tracking has not been provided.
Track deviations in terms of scheduled hours vs actual hours recorded; as well as delays in the audit plan. Propose corrective actions.
Coordinate the implementation of a skills/training database, ensuring that skills and training for Corporate Audit are consistently reflected. Leverage this database for scheduling and planning.
Manage the scheduling and on-boarding process of new hires. Work with recruiters, to agree on start dates. Help integrate new hires into teams.
Assist in the management of the Corporate Audit's internal rotation program.
Ensure that staff are appropriately matched to jobs which are challenging and developmental; balance the needs of the individual with those of the business.
Coordinate with the training team, to recommend, schedule and provide training for all staff
Recommend, organize, develop and help implement resource-related process improvements

KNOWLEDGE AND SKILLS REQUIREMENTS
Bachelor's degree from an accredited college/university.
A minimum of 5 years' professional experience; experience in internal audit or a professional services firm is desirable and/or a project management certification is desirable.
Strong project and program management experience.
Experience managing staff.
Excellent MS Excel skills.
Ability to plan and prioritize, multi task and manage a significant workload under pressure.
Strong attention to detail and organization and time management skills.
Confident at working independently and within a virtual team.
Demonstrated change agent ability.
Ability to prioritize, organize and summarize data from multiple sources.
Strong technical skills, easily adaptable to new technologies, strong Microsoft Excel skills.
Excellent interpersonal skills including strong listening, written and verbal communication, with ability to clearly and professionally communicate with others.
Proficient at negotiating and managing conflict.
Strong leadership qualities, a good sense of judgment and a high degree of confidentiality.
Ability to gain immediate credibility with senior staff and trust of all staff.
Ability to gain an in-depth understanding of the Audit process.
