Ethicon Endo Surgery, a member of Johnson & Johnson’s Family of Companies is recruiting for a R&D Franchise Coordinator, located in Cincinnati, OH.

 

The Ethicon Surgical Care business offers a broad range of products, platforms and technologies—including sutures, surgical staplers, clip appliers, trocars and synthetic mesh devices—that are used in a wide variety of minimally invasive and open surgical procedures. Specialties include support for treatment of colorectal and thoracic conditions, women’s health conditions, hernias, cancer and obesity. The R&D Franchise Coordinator is responsible for providing administrative support to R&D franchise(s), reporting to franchise Director. Coordinating the timely completion of documentation necessary for product development projects within the given franchise(s). Operating computer software programs to support franchise functions.

 
KEY JOB RESPONSIBILITIES: 
  • Provide administrative support for franchise Director, including: High speed copying, mail handling, supply ordering, reconcile invoices
  • Coordination of franchise meetings & events, both on & off-site; of travel arrangements
  • Coordination and maintenance of franchise budget as requested;
  • Preparation of management reports (e.g., monthly, quarterly);
  • Preparation & reconciliation of expense reports;
  • Preparation of presentation materials utilizing word processing & graphics software;
  • Phone coverage & call screening; Maintenance of appointment calendars; Maintenance of organizational charts and job descriptions
  • Correspondence of general nature from marginal notes & verbal communication; Processing or assistance with human resources (HRS) forms as needed;
  • Facilitate communication flow throughout franchise; Coordinate office moves for franchise Associates. Act as liaison between staff / associates / other departments & director / manager;
  • Assure that requests are handled efficiently, effectively & courteously;
  • Work closely with other R&D Franchise Coordinators and Executive Administrative Associate;
  • Establish, organize, and maintain franchise files to comply with Corporate Record Retention Policy.
  • Organize and maintain project team documentation (electronic and/or hard copy) to comply with Corporate Quality System regulations through product release.
  • Transfer control of project team documentation to Corporate Document Services upon product release.
  • Review & issue Change Authorization Forms (CAF) for project teams within the franchise. 
  • Serve as a back-up issuer for other franchises as needed; Support project teams during internal & external agency audits as required;
  • Interface with other facilities, suppliers & contractors as required;
  • Assist Sponsor Teams and Project Leadership Teams during technical design & gate reviews;
  • Suggest improvements or problem resolutions for cost improvements & efficiency;

Qualifications
  • High School diploma required;2-year degree in business, technical or equivalent job experience preferred.
  • 5+ yrs of progressive administrative experience; product development organizational experience a plus.
  • Experience in a fast-paced, team-based work environment
  • Interpersonal skills to deal effectively with internal & external customers – all levels.
  • Ability to work in a team environment; Ability to organize and manage project documentation; Communication / presentation skills – verbal and written.
  • Technical writing skills a plus; Ability to compose documents / presentations from minimal notes.
  • Strong organizational and time management skills; able to take complex, ambiguous situations & organize into sensible & well planned functions
  • Detail-oriented; High degree of confidentiality / sensitivity
  • Ability to listen and take direction, seeking clarification where necessary
  • Operate commonly used office equipment
  • Ability to work through conflicting information to find solutions
  • Effective problem analysis and solving
  • Ability to work independently, with little supervision, to ensure timely completion of tasks
  •  Working knowledge of ISO (International Organization for Standardization) and FDA (Food & Drug Administration) records management requirements preferred
 
COMPUTER SKILLS:
  • Personal computer software Windows, word processing, presentation, e-mail, flow charts, calendar & spreadsheet software
  • Knowledge of Internet required
  • Knowledge of J&J/EES Intranet and business applications (such as CAF [Change Authorization Form], ARIBA [Global Purchasing], CTO [J&J Travel], eXRS [Expense Reporting], PDM [Quality System Documents]) a plus.
  • Takes initiative to update knowledge of new software relevant to the position.
