Position Summary:

We are looking for a qualified Sales Support Specialist to join our Midwest Sales Team. We're looking for a highly organized and efficient professional who can wear multiple hats throughout the workday while prioritizing the most important tasks on his or her list. The Midwest Sales Team consists of approximately 80 Preventive Maintenance, Fixed Price Service and Installation Sales Reps. This person will be responsible for providing support to numerous individuals within the sales group, across multiple districts, and different aspects of our Services. There is no need to have previous sales support experience as we provide in-house training for this role. Prior administrative or clerical experience will be beneficial in ensuring your success in this position.

Duties and Responsibilities:
  • Assist Sales with large Bid Packets
  • Maintain Standard Pre-Bid Qualification Documents
  • Bid, Payment, and Performance Bonds - responsible for entering into portal
  • Work with Sales on projects placed on hold and obtaining missing documents
  • Provide updated COE/Credit/Penny hold list
  • Maintain List of Business References
  • Assist in initial contract review and determine if contract needs to go to corporate legal
  • Submit contracts into legal portal or reviews contracts
  • Track contracts to ensure fully executed copy re received
  • Issue COI's for fully executed projects
  • SOS Champion
  • Perform other duties as directed by ACSM


Job Qualifications:

Education:
  • Associate's Degree, Certification or proven equivalent professional administrative experience
Experience:
  • 1- 2 years of experience in contract administration or in a related area preferred
Skills:
  • Applicant should have knowledge of commonly used concepts, practices, and procedures within the construction field
  • Effective writing skills, teamwork, legal compliance, understanding of contracts desired
  • Experience in Fire and Security or Construction industry a plus
  • Strong PC literacy, advanced skills in Microsoft Outlook, Word, Excel, or PowerPoint
  • A strong work ethic and ability to communicate effectively with upper management
  • Ability to navigate through matrix organization and multi-task, problem-solve, and adapt to change in a fast-paced dynamic environment
  • Customer service mindset and high interpersonal savvy and approachability
  • Consistent pleasant and professional demeanor toward all levels of team members
  • Ability to complete assigned tasks with a minimum of guidance and oversight
  • Ability to prioritize multiple tasks
  • Must be able pass a pre-employment background and drug screening
