This position is responsible for providing ongoing administrative support of a highly complex and confidential nature for a team of Vice Presidents within the Clinical Program Services team. The position assists in meeting specialized goals, and contributes to the achievement of the organization's vision, mission and strategic objectives by providing special project and administrative support to this team. The activities of this position are varied and include supporting the team by managing calendars, correspondence, meeting preparations, event planning, travel arrangements, expense reporting and other logistical matters. It is anticipated that the person holding this position will network extensively with many of the organization's leadership and health system stakeholders and will represent their supervisor and the health system in a positive and professional manner. In this position you will: Independently, or in consultation with supervisor, develop plans needed to carry out assigned projects and activities; establish methods and schedules to implement and maintain activities for those this position supports. In addition, the position will exercise extensive independent judgment to reflect and match supervisor's leadership style. While being proactive and flexible, perform administrative functions in support of meetings as assigned. Support activities include, preparation of draft agendas; electronic distribution of meeting materials; documentation of meeting discussions, and coordination of follow-up reports as appropriate. Schedule and coordinate meetings (small and large); that include logistics such as document preparation, AV and catering. Either work with other assistants or works independently to schedules meetings, arrange travel and outside commitments. Assure that materials needed for meeting obligations in advance of appointments. Use word processing software, spreadsheet software, and various presentation software options to complete assignments with timeliness and accuracy. Position provides appropriate referrals to matters as they arise, or informs their supervisor(s) when a situation warrants direct attention. Provides support through positive communications and relations with internal and external customers in an environment that is open and inviting. Maintains relationships with, and responds to contacts from, internal and external customers (such as executives, professional association staff, consultants, colleagues) with the purpose of exchanging information, scheduling meetings and communicating confidential and non-confidential matters. Collaborate with a wide variety of offices and individuals to assist in all organizational integration efforts to fulfill strategic objectives, best practices and outcomes for the integrated health system.
