The Senior Administrative Assistant will be responsible for providing administrative support to the Global Regulatory Affairs Therapeutic Area Head for Cardiovascular and Metabolism and the regulatory team for Cardiovascular and Metabolism.

Primary Responsibilities:

The Executive Administrative Assistant will:  successfully process all communications, including phone calls, email, correspondence, mail, and faxes; make ad hoc delegation decisions on communications and implement them; manage a highly complex business calendar with a keen sense of prioritization and time management to ensure maximum effectiveness of time use by the Global Regulatory Affairs (GRA) Therapeutic Area Head; coordinate Departmental Senior Leadership meetings and related activities, and other leadership activities of the GRA Therapeutic Area Head;  collect and consolidate management data/reports from each functional area for which the GRA Therapeutic Area Head has oversight, in order to track performance against GRA goals, R&D and corporate strategy; organize confidential files, manage relevant data, and maintain accurate records;  coordinate all travel arrangements for the GRA Therapeutic Area Head and others as needed and process all expense reports on time; be responsible for planning and coordinating global department meetings, celebrations, and outside meetings ; when required function as the recorder during meetings and prepare meeting minutes and coordinate all materials; track action items and follow up activities of direct reports and other staff on behalf of the GRA Therapeutic Area Head.

This person will interact with various levels of management on a day-to-day basis, handling very confidential documents and materials.  This person will need to balance the necessity of managing the calendar tightly while establishing a friendly, accessible-to-all atmosphere with peers, within the organization, and outside of it as well.  This position will require individual to exercise independent discretion and judgment to solve complex problems regarding project, department or division-related work.   

  • A High School diploma is required; An Associate Degree or Bachelor’s Degree is preferred
  • Minimum of 3 years of administrative experience supporting a senior executive is required
  • Proven experience performing administrative duties requiring limited autonomy in making decisions independent of the current supervisor and that of the department is required
  • An understanding of Drug Development (Phase 1-3), an understanding of regulatory affairs and/or clinical knowledge is highly desired
  • An advanced secretarial certification is a plus
  • Experience working with ARIBA, PDM, on-line travel arrangements and the GXRS systems is preferred
  • Previous experience in meeting technology, such as Global Connect, Skype, WebEx, or other interfacing technology is preferred
  • Demonstrated proficiency with Microsoft office programs (Word, Excel, PowerPoint, Outlook, etc.) and SharePoint is required
  • Proven experience managing and responding to multiple priorities and shifting demands while maintaining a sense of urgency is required
  • Possesses in-depth knowledge of organizational systems and policies, objectives, policies and procedures is preferred
  • Ability to work in Raritan, NJ is required
