Janssen Global Services, LLC, is recruiting for a Senior Administrative Assistant to be based in Titusville, NJ.


Janssen Global Services, LLC encompasses groups that provide leadership across critical business areas for Janssen including, Global Commercial Strategy Organization; Global Pharmaceuticals Communication and Public Affairs; U.S. Pharmaceuticals Procurement Group; and Pharmaceuticals Group Business Development.  


The Senior Administrative Assistant will be responsible for providing comprehensive administrative support to the Regional Pharmaceuticals Communication Leader, The Americas, and Senior Directors on the team.  Primary responsibilities include: managing team finances, including budgets, Purchase Orders (POs), invoice processing, processing of new vendors, and reporting to Finance; leading logistical support for large internal events; managing large-scale email announcements; complex calendar coordination; scheduling and arranging meetings with internal and external partners; screening calls on occasion, including calls from media and from senior management; preparing domestic and international travel; preparing expense reports; onboarding new team members; and record management and compliance.


The candidate should have a proven ability to work collaboratively with the team and the Janssen Americas Leadership Team administrative assistants, possess exceptional communication skills (both written and verbal), and operate with a high sense of urgency while maintaining a high degree of accuracy and professionalism. Individual must maintain strict confidentiality and exercise independent discretion and judgment to solve complex problems.   The ability to work with minimal supervision and achieve results in a fast-paced environment is required.  


  • A minimum of a High School Diploma is required. 
  • A minimum of ten (10) years of intermediate to advanced administrative support experience is required.
  • A minimum of five (5) years of experience supporting Senior Directors, VP’s or Executives
  • Demonstrated proficiency in: Microsoft Office programs including Word, Excel, PowerPoint, and Outlook
  • Demonstrated experience managing a department budget
  • Experience with Purchase Orders and Invoice Processing
  • Experience with software to include Concur, Webex, SharePoint, e-marketplace, Ariba, and Totality
  • Excellent Communication Skills and attention to detail
  • Experience in a large global and/or matrixed environment
  • The ability to travel up to 5% within the local Titusville, NJ area
