The Senior Administrative Assistant reports to the Vice President, Venture Investments and will be responsible for providing administrative support to the two vice presidents of venture investments located in Boston. The assistant will also support the Senior Director of Business Analytics, and the Finance Controller located in New Brunswick. Additionally, she/he will be providing general administrative support for the JJDC finance and operations team located in New Brunswick. Under minimal supervision, the incumbent will perform advanced administrative/secretarial duties including, but not limited to: maintain complex and changing calendars, arrange meetings, coordinate complex travel arrangements via JJTO, manage expense reports, handle and prepare confidential and business sensitive information, and HCC requirements. The position requires screening, directing and follow up on opportunities and correspondence that must be done efficiently and confidentially. The position will also require managing consultant contracts executed by the JJDC team, managing JJDC database subscription contracts, including analyzing usage, making recommendations to management on needs, and perform searches as required in the subscribed databases. The incumbent will follow-up on items delegated to others by the Executive(s). The position also requires coordination with the JJDC Finance organization on the release of investment funds; coordination of ad hoc projects such as arrangements for the annual JPMorgan Healthcare Conference and arranging for local JJDC investment meetings. The incumbent will present a professional and welcoming presence, representing the JJDC team and handling communications with internal and external customers and partners, senior executives, and corporate partners. He/she is required to think analytically, exercise sound judgment and discretion, and independently assess and resolve complex situations. Excellent collaboration and teamwork skills are required in order to coordinate with other JJDC administrative staff to accomplish department activities.
The position requires leadership, initiative, excellent communication skills, organization, follow-up, execution and the ability to handle multiple assignments. Knowledge and understanding of business priorities is necessary for purposes of scheduling and communication. He/she must demonstrate flexibility and the ability to manage and respond to multiple priorities and shifting demands while maintaining the sense of urgency the office requires.
A minimum of a High School diploma is required. An Associate’s Degree is preferred. A minimum of 10 years of business experience is required.
The incumbent must possess extensive knowledge and demonstrate an expert level of proficiency in Microsoft Office programs (Word, Excel, PowerPoint, and Outlook). Must have strong computer skills and proficiency with productivity tools and portal technology (e.g., OUR SOURCE, WebEx, gXRS, Ariba, Global Connect, SharePoint and Box). Excellent verbal and written communication skills, with exceptional interpersonal skills are required. A sense of urgency is required while maintaining a high degree of professionalism. The ability to multi-task, work with minimal supervision, and achieve results in a fast-paced environment is required. Strong organizational skills are required. Must be able to manage multiple priorities maintain confidentiality, and operate with poise and professionalism in a complex, high profile, and rapidly changing environment.
