The Senior Administrative Associate, PMO position provides a wide scope and level of logistical, business process, data & file management, office supply, meeting preparation, communication management, project management and other business support.  This position’s customer focus is that of a functional department.  The position requires an individual, as well as collaborative contribution to the organization.


Primary Duties:


Provide administrative support in alignment with administrative process management, to the Functional Project Management departmental staff, including:

o New hire interview coordination

o Travel arrangements

o Large meeting organization

o Providing office space and supply support; liaising with site operations

o Departmental, team & individual calendar and agenda management

o Communication management

o Documentation & data management (e.g. organizational charts, distribution lists, supply/ time reporting systems, human resource systems, team lists, vacation & holiday calendars)

o Purchase order and contract management

o Knowledge management administration (curriculum, job descriptions, training records)

o Process development, training and day to day management of contractor admin. staff to augment in-house capacity for specific support activities

o Liaising with shared services for all supporting documents/activities

o Contributing to administrative process development & process execution


  • High school diploma or equivalent is required
  • 3+ years of administrative support experience is required
  • Drug Development administrative support experience preferred
  • Demonstrated proficiency with MS Outlook, PowerPoint, Excel, Visio and SharePoint is required
  • Experience with Excel Macros, building formulas in excel, creating process maps with Visio and managing dbases in applications such as Access is preferred
