This challenging role as a Senior Administrative Assistant will support the Assistant Corporate Controller of New York Life Insurance and the overall team, as applicable.  The qualified candidate will work well in a team-environment while providing total support to the executive in all aspects of their role.  The role requires a high attention to details as well as exposure to confidential information.
 

  • Maintain overall support of the executive, including high volume phone coverage, complex business calendar maintenance and correspondence in a timely and professional manner
  • Keep track of daily agenda ensuring executives attendance and punctuality for meetings
  • Prepare and ensure timely delivery or distribution of meeting materials
  • Maintain and track high volume of approval and signature documents
  • Handle registration and coordination of company representation for the Vice President and his staff for business travel, including international coordination
  • Coordinate meetings, conference calls, video conferencing and travel arrangements with high attention to detail and follow-up.
  • Coordinate Team All Hands Meetings and Special Events
  • Support  with the creation of presentation packages and speaker notes
  • Assist HR all team managers with on-boarding for new employees
  • Handle expense reports, invoicing and procurement, tracking and reporting
  • Liaise within the department, across the organization and with external partners/vendors/associations
  • Assist with on-boarding for department as needed
  • Maintain email, files and documentation as needed
  • Maintain organization charts and floor plan
  • Maintain attendance records on SAP for executive
  • Orders office supplies as necessary
  • Reviews and distribute mail as appropriate
  • Handles Ad-hoc projects and assignments as the business dictates

     

  • Capable of interacting and effectively working with senior executives, team members within the department, with employees throughout New York Life, as well as with external business partners/contacts in a positive, professional and engaging manner
  • This individual will be empowered to act on behalf of the executive(s) and will truly be a partner on all day-to-day operations.

     

  • High School Diploma, Bachelors Degree preferred
  • 5-10+ years as an administrative assistant in a corporate environment
  • Exceptional interpersonal and communication (verbal and written) skills
  • Excellent organizational skills with a high attention to detail
  • Ability to multitask and set priorities
  • Proactive, detail oriented with strong follow-up skills
  • Strong work ethic
  • Flexibility in a fast-paced corporate environment
  • Ability to handle sensitive information and keep information confidential
  • Team player with the ability to work independently, demonstrate initiative and exercise good judgment
  • Able to collaborate and establish strong relationships with all levels of the organization
  • A willingness to work overtime, as necessary
  • Solid proficiency with Microsoft Suite: Word, Excel, PowerPoint, Lotus Notes and Visio
