The Senior Administrative Coordinator will serve as a coordinator for a department/division by providing administrative support in areas of typing memos, forms, creating presentations, technical and/or confidential correspondence, file management, arranging travel and ordering office supplies.
Other responsibilities include:
  • Support 2 Directors, 1 Sr. Director and their groups which includes maintaining calendars and accepting meetings for them, arranging all travel, expense reports, and meeting set up.
  • Provide backup support for the Executive Administrative Coordinator within a Department of 800+ associates.
  • Maintenance of the QRC SharePoint and keeping the Admin documents updated.
  • Updating Org Charts in PowerPoint and Visio.
  • Presentation Assistance and setting up and running Webex meetings for the Directors as requested.
  • Keeping department distribution lists up to date in the Outlook Address Book and sending out correspondence, and posting news and announcements to the 20/20 Quality SharePoint page.
  • Setting up interviews.
  • New Hire and intern preparation – ordering new laptops & equipment, and getting desk areas set up with supplies, phone and other requests. 
  • Excellent problem solving skills needed.
  • Must be a quick learner and able to multitask.
  • Must be able to work in a quick paced environment and remain calm under pressure while maintaining a friendly demeanor.
  • Must be able to prioritize important tasks and have excellent organizational skills.
  • Other assignments and projects as assigned by Management and Exec Admin.
  • Opens, sorts, prioritizes and distributes incoming communications.
  • Answers inquiries, uses discretion handling difficult calls and routes calls to appropriate individual. 
  • Maintains calendar(s) and arranges meetings for the supervisor and/or department.
  • Organizes and expedites flow of work through supervisor's office and provides follow-up to ensure projects are completed as required.
  • Handle department/division special projects with minimal or no management initiation or review.
  •  Assembles, summarizes, compiles and prepares publication of project results for management.
  • Provides analysis and recommendations to management.
  • May provide guidance to clerical support persons or Administrative Coordinators.
  • Frequently, exercises independent discretion and judgment, and solves moderately complex problems. 
  • Some latitude to change work processes and work flow is provided. 
  • Adheres to environmental policy and procedures and supports department environmental objectives.
  • Provide technical administrative support and communication facilitation.
  • Act as a resource for training/troubleshooting/project tracking.
  • Construct/create/prepare communication and/or presentation pieces.
  • Provide traditional support in areas of travel arrangements, scheduling, and other provisions (i.e. typing, copying, collating).
  • Coordinates, develops and provides analysis of projects.
  • Performs other related duties as assigned by management.

  • High School Degree or equivalent.
  • Some college to A.S. degree, preferred.
  • 4-6+ years secretarial/administrative experience; additional administrative technical education preferred.
  • Strong interpersonal, communication and organizational skills are required.
  • Technical skill experience to include: Accounting/Budgeting courses, Department specific courses, Administrative support certification, Time management, Video conferencing.
  • Thorough knowledge of Personal Computer software.
    • Familiarity with PowerPoint, Visio, SharePoint, Microsoft Office, and Outlook is required.
    • Experience with Concur and Ariba is preferred.
