This position is for a Senior Associate, Administrative Services in Sterile Liquid Commercialization (SLC) group, within Global Vaccines and Biologics Commercialization (GVBC) organization within Merck Manufacturing Division (MMD). The SLC group takes ownership of sterile drug product operations commercialization across Biologics, vaccines, and small molecules. This position will be located in West Point, PA.

The Senior Associate, Administrative Services position reports to the Executive Director and functional head of SLC, and supports 4-6 directors along with a staff of 30-40 people. The incumbent will help to support activities across the larger GVBC department across sites as well as providing support to partner groups as needed. Duties include:
  • Maintaining daily calendars, schedule internal/external meetings and departmental functions, teleconferences, and video conference, monitor calendar conflicts
  • Maintaining basic knowledge of Company policies and practices
  • Facilitating departmental metrics
  • Supporting the use of Team Sites; keeping departmental databases up to date (Excel spreadsheets)
  • Recruiting: scheduling interviews with candidates and managing candidate's travel and expenses
  • Assisting with on-boarding of new employees and exiting of current employees
  • Coordinate domestic/International travel arrangements as needed and secure all travel plans/itineraries prior to travel.
  • Preparing, processing, and tracking travel expense reports and rectify with AmEx statements
  • Maintaining monthly organization charts
  • Office planning systems
  • Purchasing office supplies and supporting staff in their purchases of equipment and supplies including preparing POs and following up on invoices
  • Where required, matrixes work activities with other departmental Administrative Assistants
  • May coordinate special projects within the division/area.

  • Produces/completes various work assignments requiring advanced analytical ability, independent judgment, creativity and problem solving skills.
  • Communication Skills must be at a level to effectively interact with Merck executives and internal/external clients both on-site and remotely to maintain workflow.
  • Ability to handle complexity, and adapt to change
  • The ability to learn from and partner with existing staff both within the department and experienced administrative services staff throughout the organization.



Qualifications:
Education:
  • Required: High School Diploma/GED
  • Preferred: Associates Degree

Required:
