The Senior Associate Project Management is a global role based in Thousand Oaks, reporting through the Strategic Planning and Operations function in Global Value, Access and Policy (GVA&P) function within Global Commercial Operations. Consistent with the Global Operating Model, the Senior Associate will also align with Regional Value, Access and Policy (VA&P) functions to track high-level worldwide VA&P budgets
This role: facilitates timely, transparent and accurate management of the Global function's OPEX budget; coordinates with Global Health Economics (GHE), Global Pricing and Market Access (GPMA) and Strategic Planning and Operations (SPO) budget holders to track budget, Purchase Orders, Invoice approvals and accruals; manages and prepares Quarterly Forecast process to Finance including Outside Expense (OSE), Labor and Benefits/Headcount, and Staff Support expenses; communicates status and trends to functional leaders with standard and ad hoc reports, problem solves issues and escalates as appropriate to meet budget targets. The Senior Associate is responsible for online budget tracking tools (OPTS, BPT, eFinity, SAP), and administration including training and support of these systems for GVA&P budget holders and staff, ensuring that all expense transactions are compliant with Amgen sourcing and Compliance guidelines, standards, and accounting principles.
Responsibilities include but are not limited to:
Administration of the online Operational Project Tracking System (OPTS) including:
Monthly uploads of SAP budget and payment details
Coordination of system updates and bug fixes with the System Owner
Regular meetings with budget holders to update project plans and deliverables
Training and support as expert use to other GVA&P staff members
Working in SAP CRONSUP invoice approval system, supporting problem solving, training and functional liaison to Accounts Payable
Working in eFinity purchasing system providing support and problem resolution to GVA&P Budget holders and Administrative Coordinators
Quarterly execution of Finance latest estimates and delivery to Finance
Facilitating entry and updating of the following year Business Planning Tool online budget planning and prioritization tool.
Serving as primary contact with Global Strategic Sourcing (GSS) to appropriately follow GSS policy, procedures and tools, and appropriately source GVA&P programs
Supporting Compliance processes and procedures in coordination with GVA&P Compliance expert
Managing, tracking, and aligning budgets with Finance partners for the Regional Value, Access and Policy functions
Leading and/or participating in special department, cross-functional or team projects
Initiating and driving process improvements, systems and methods to manage GVA&P budgets
Basic Qualifications
Master's degree
OR
Bachelor's degree and 2 years of project management experience
OR
Associate's degree and 6 years of project management experience
OR
High school diploma / GED and 8 years of project management experience
Preferred Qualifications
Bachelor's or Associate's degree in life sciences or related field
Strong experience with Project Management tools, methodologies, and practices
Project management experience in financial discipline, such as budgeting, bookkeeping, invoices, purchase orders, accounts payable.
2+ years of experience working in the biotech or pharma industry, managed care or healthcare consulting
3+ years of experience in working with cross-functional teams in a company with global operations
Good understanding of Amgen commercialization process
Demonstrated understanding of core marketing competencies (ALTIUS)
Strong communication, interpersonal, organizational, planning, and writing skills
Quick learner, proactive, takes initiative
Strong attention to detail and financial acumen
Distinguishes proper balance between strategic and tactical thinking
Strong interpersonal skills, negotiation skills, active listening, and relationship management skills
Strong capabilities in interfacing effectively with all levels, including senior management
