Position Description
Provide full administrative support to a senior executive of the Firm. In addition, provide back-up administrative support to other team members within the department when necessary.
Essential Duties and Responsibilities
1. Need to be in the office by 7:30am (preferably earlier) and work until 5:30pm on daily basis with occasional flexibly after-hours and on weekends; attendance must be punctual and predictable
2. Willing to accommodate complex travel arrangements and become familiar with specific and detailed requirements; be available during travel times to quickly address any last-minute changes or cancellations
3. Demonstrate flexibility, proactive thinking, and ability to work as part of a high-performing, results-oriented, team
Executive Support
Complete a broad variety of administrative tasks including: managing an extremely active calendar; completing expense reports; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel- and business-related meetings
Plan, coordinate, and ensure seamless calendar scheduling. Provide gatekeeper and gateway role, ensuring appropriate access between the executive and others
Research, prioritize, and follow-up on incoming issues and concerns; determine appropriate course of action, referral, or response
Provide a bridge for smooth communication between the executive and the organization; demonstrating leadership to maintain credibility, trust, and support with senior management staff
Work closely with the assistants of other Managing Directors within the department to ensure the executive is well informed of upcoming commitments and responsibilities, following-up appropriate. Act as a barometer, having a sense for the issues taking place in the environment and keeping executive updated
Proactively facilitate the executive?s ability to work efficiently, including drafting letters and general correspondence, and garnering approvals for requisite projects
Prepare for meetings including booking conference rooms, ordering food/beverages, setting-up video conferencing units, and ensuring seamless multimedia experience
Set-up staff meetings, maintain Management Committee calendar, and organize team events; distribute meeting agendas and materials
Strategic Initiatives
Work with the Head of Strategy, Planning & Communication to coordinate outreach and employee engagement activities for the division
Demonstrate leadership to build relationships critical to the success of the organization, and manages a variety of special projects, some of which may have organizational impact
Coordinate the agenda of senior management team meetings, off-sites, volunteer events, and general staff engagements
Ensure follow-up with key contacts and support the cultivation of ongoing stakeholder relationships

Qualifications
Expert level written and verbal communication skills
Highly resourceful team-player, with the ability to also work effectively independently
Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly and with excellent attention to detail
Very strong interpersonal skills and the ability to build relationships with key stakeholders, including senior management, direct reports, external partners, and support staff
Demonstrated proactive approach to problem-solving with strong decision-making capability; proactive thinker, who actively seeks to improve and optimize processes and outcomes
Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
Experience Requirements
Strong work tenure: five to 10 years of experience supporting C-Level Executives, preferably within an investment bank or comparable financial institution
Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint) and Concur
