This position will be responsible for coordinating and executing tax processing tasks for Brighthouse Financials Tax Department, including assembling, filing (both paper and electronic), scanning, and tracking tax returns, estimates, and extensions.  Other tax processing duties include requesting and coordinating the receipt of payments from Brighthouse Financial Accounts Payable for tax filings, and accepting, processes, and tracking refund payments from various taxing authorities.  In addition to tax processing responsibilities, this position will also be responsible for providing general administrative assistance for Brighthouse Financials Tax Department, with most time dedicated to supporting the senior professionals within the department. This position will be responsible for coordinating schedules and appointments via Outlook, making travel arrangements, and drafting and revising various correspondence documents.  This position will be responsible for managing billing activities, managing office supplies, and providing any other necessary general administrative assistance for the group.  This position will also be responsible for organizing staff functions, organizing departmental events, and completing special projects, as needed.  In addition, this position will be responsible for performing a variety of specialized administrative assignments in support of this business unit. Examples of specialized activities include scheduling Continuing Legal Education and Continuing Professional Education courses, tracking Bar and CPA license renewal dates, payments, and required credits.

Job Description

  • Request and coordinate the receipt of payments (i.e., paper checks, EFT transfers, etc.) from Brighthouse Financial Accounts Payable for tax filings
  • Assemble, file, scan and track tax returns, estimates, and extensions, while adhering to strict filing target dates
  • Assist in electronic filing of tax returns, estimates, and extensions, and monitor status of electronic filings
  • Update the tax deadline calendar for proper control of all tax return filings
  • Accept, process, and track refund payments from taxing authorities
  • Other tax processing duties, as assigned
  • Recommend improvements to tax processing procedures
  • With several other administrative assistants, provide administrative support to the Tax Department, including:
  • Schedule and maintain calendars, including appointments and meetings.  Coordinate calendars of multiple individuals to avoid conflicts and find appropriate times for meeting with internal and external associates, vendors and their assistants.
  • Answer telephones and direct inquires appropriately, for prompt and efficient resolution
  • Dictate, draft, and revise correspondence and assist with the preparation and distribution of various reports and presentation materials, as requested
  • Create and manage files, as directed, and maintain confidential documents and records following administrative policies
  • Prioritize and manage multiple projects for the department and follow through on issues promptly and effectively
  • Schedule Continuing Legal Education and Continuing Professional Education courses, track Bar and CPA license renewal dates, process Bar and CPA renewal payments, and track how many credits are needed by each attorney or tax professional
  • Organize and schedule travel to/from business trips including airfare, hotels, car service, etc.  Collect receipts and promptly submit reimbursement requests
  • Manage billing activities such as submitting outside counsel/professional services bills for payment by Brighthouse Financial and communicating with the administrators in the various firms about discounts and payment of certain invoices including the rejection of certain invoices
  • Screen incoming mail and other correspondence
  • Manage office supplies and equipment for the department
  • Complete special projects as needed and other duties, as assigned
  • Organize staff functions including the preparation of agendas and presentations
  • Coordinate department's administrative activities; organize departmental events (off-sites, team outings)
  • Provide any other necessary general administrative assistance for the department
  • Recommend improvements to administrative procedures and other processes in the department


Required Qualifications

  • 5+ years of administrative experience working in a professional environment
  • 2+ years of tax processing experience working in a professional environment
  • Demonstrated ability to effectively work independently and handle multiple tasks within targeted deadlines
  • Demonstrated ability to successfully handle administrative details and routine day-to-day issues independently, assuming responsibility without direct supervision
  • Demonstrated ability to prioritize and manage multiple projects and follow through on issues promptly and effectively
  • Flexibility in work schedule, and available to work overtime as needed
  • Strong organizational skills
  • Attention to detail
  • Excellent written and verbal communication skills
  • Excellent Excel, Word and PowerPoint skills
  • Experience with various tax software (e.g. CorpTax, OneSource, Vertex, TriTech Premium Pro, other)
  • Ability to meet tight deadlines and effectively handle stressful situations
  • Experience typing correspondence, proofreading, scheduling appointments and calendaring, setting up meetings, and making travel arrangements
